To help our team prepare and support your event, this intake form must be completed with the details of your show. It helps us understand what you’re planning and how we can assist and promote your event through VRTX channels.

Since your slot has already been booked, it’s assumed you’ve read and agreed to the House Rules and Rental Agreement.

If you haven’t yet, please review them before submitting. As the showrunner, you are responsible for following these guidelines, and rentals that violate them may carry penalties.

Failure to complete this form may result in your booking being rejected.

Do I need to read the House Rules and Rental Agreement?

Yes. Booking the venue confirms that you’ve read and agreed to all House Rules and the Venue Rental Agreement. These documents are provided for download and apply to the booking party and all attendees. No exceptions.

The booking party is responsible for the behavior of all guests, artists, and collaborators.

While VRTX provides on-site security, renters are expected to actively manage their crowd and keep guests respectful toward the venue, staff, artists, and surrounding community.

Violations may result in immediate termination of the event without refund, removal from the venue, additional fees, or liability for damages—depending on the situation and what’s outlined in the Rental Agreement.

Yes, within reason and as long as it’s approved under the House Rules. Nothing may be installed, altered, or removed from the venue without prior approval. All equipment and decor must be removed by the end of your rental time.

Yes. VRTX provides on-site security. However, security does not replace the responsibility of the booking party to manage their guests and event flow. Repeated or serious issues caused by attendees may still result in early termination of the event or additional charges.

Yes. Renters are free to sell tickets, charge at the door, and sell merchandise. All ticketing, door sales, and merch sales must be handled by the renter. VRTX does not process payments, handle cash, or manage sales on behalf of renters.

Any damage to the venue, equipment, or surrounding property during your booking is the responsibility of the booking party and may result in repair or replacement charges.

Refunds, cancellations, and rescheduling are handled strictly according to the terms outlined in the Rental Agreement. Please review those terms before booking.

VRTX does not sell, store, or distribute alcohol. For VRTX-hosted events, alcohol may be provided by third-party, city-approved, permit-holding vendors.

For private rentals, renters may bring alcohol under a BYOD option for an additional fee, subject to all terms in the Rental Agreement. All alcohol-related rules must be followed, including but not limited to:

  • All events must be 21+ and clearly labeled as such

  • Event promotions and announcements may not explicitly state that alcohol is being served

  • Renters are responsible for compliance with all applicable laws and regulations

Failure to comply with these terms may result in event cancellation without refund, as outlined in the Rental Agreement.

Yes. All show posters and promotional materials must be submitted within 48 hours of booking. If materials are not submitted within that window, VRTX will take over and use a placeholder or alternate graphic at our discretion.

All submitted posters and marketing must comply with the House Rules and Venue Rental Agreement. If submitted materials do not comply, the event may be canceled and the deposit refunded, as outlined in the agreement.

The poster you submit is considered final and ready-to-use. This is the artwork that will be used for promotion and display, so please submit a finished version.

Yes—with clear boundaries.

VRTX is happy to showcase approved posters and support promotion in the following ways:

  • Displaying your poster on the VRTX website under Upcoming Shows

  • Accepting Instagram story collaborations for your event

  • Posting one weekly announcement for your show at VRTX’s discretion

VRTX is not obligated to post on a specific schedule, and may choose whether or when to post promotional content. The submitted, approved poster is the asset that will be used—no redesigns or revisions will be made by VRTX.

Promotion support is provided as a courtesy and does not replace the renter’s responsibility to market their own event.

All event posters must meet the following specifications. Submissions that do not comply may be rejected or replaced with a VRTX placeholder.

Format & File Type

  • Aspect ratio: 3:4 (Instagram portrait) or Reel Format

  • Recommended size: 1080 × 1440 pixels or 1080 x 1920

  • File type: PNG only

  • Video files are not accepted (video may be used for Instagram story collaborations only)

Required Information

  • Event must be clearly labeled 21+ (legible and visible at a glance)

  • Venue address must be included exactly as follows:

Content Guidelines

  • Posters must be submitted in good faith and comply with the House Rules and Venue Rental Agreement

  • No promotion of illegal activity, hate speech, or prohibited content

  • No explicit claims that alcohol is being served

  • Assume a third-party, city-approved vendor may be present even if BYOD was not purchased

Submission Rules

  • Posters must be submitted within 48 hours of booking

    • VRTX website “Upcoming Shows”

    • Social media promotion at VRTX’s discretion

  • VRTX does not edit, redesign, or revise submitted posters

Patio FAQ

Is the patio free to use?

Yes — the patio is generally free to use. However, it is a shared community space and requires approval from Starseed Hostel before it can be reserved for an event.

Not automatically. The patio is approval-based to ensure fair access for a wide range of creatives and community members.

Starseed prioritizes a mix of:

  • Live bands
  • Art showcases and performances
  • Private gatherings and celebrations
  • Creative and community-driven events

Submit a booking request through the VRTX website.

Once submitted:

  • Your request helps hold the date and avoid double booking
  • A representative from Starseed (Nate or team) will reach out for details
  • Final approval comes directly from Starseed

All patio approvals are handled by Starseed Hostel, not VRTX.

VRTX only helps coordinate scheduling.
Starseed reviews each request to ensure the space is being used fairly and appropriately.

The patio is intended to be open and accessible, but without some level of approval it can easily become overbooked or dominated by a single type of event.

This process helps:

  • Prevent abuse of the space
  • Keep things diverse and community-focused
  • Ensure everyone gets a fair opportunity to use it

Standard hours are:
7:00 PM – 11:00 PM

Extended hours may be allowed, but only with approval from Starseed.

Not by default. The patio is a shared-use space.

Exclusive use may be possible in certain cases, but must be approved by Starseed.

Not automatically.

VRTX may offer:

  • Security
  • Bar services
  • Audio/visual production

These are optional and not guaranteed, and may depend on the type of event.

You are responsible for handling alcohol in compliance with all applicable laws.

If VRTX is not providing bar service:

  • You are responsible for ID checks, distribution, and safety
  • VRTX is not liable for alcohol-related issues

 

VRTX can provide 3rd party vendors upon request.

Absolutely. The patio is designed for a wide range of uses, including:

  • Art galleries
  • Pop-ups
  • Photo/video shoots
  • Birthday parties
  • Community events

After booking:

  1. Your date is tentatively held
  2. Starseed reaches out to learn more about your event
  3. Approval (or adjustments) are provided

Yes. Because the patio is curated to remain fair and community-driven, not all requests will be approved.

In some cases, yes. Depending on the size and nature of your event, you may be required to provide event insurance.
